Follow Collection Campaigns: How to Import orders from a CSV file (Kits)

Collection Campaigns allow you to gather swag orders from your internal teams easily so Printfection can handle fulfillment and shipping. This article outlines how to send sized kits from within a Collection Campaign by importing orders via CSV file.


1. Create a CSV with your information 

Start by downloading our kit-specific CSV template by clicking here

Please note: if you download the CSV from within the platform, you will need to add a Kit ID column to the CSV template file (add this column between Product ID and Quantity)


You will find a column header of the data fields below - please do not delete headers from the sample CSV as they are mapped to the platform.  

  • First & Last Name
  • Company Name (Optional)
  • Street Address 1
  • Street Address 2 (Optional)
  • City
  • State
  • Zip Code
  • Country
  • Email Address (Required)
  • Telephone # (Required for International Shipping)
  • Item Name 
    • Typed exactly as shown in your account and only needed if it's a sized item in your kit
  • Product ID 
    • This ID can be found on your Inventory Levels tab
  • Kit ID 
    • This ID can be found on your Inventory Levels tab

  • Quantity
  • Size
  • Gift Message
    • The message can accommodate up to 10 lines of text and 60 characters per line

    • Please use \\n to designate your line breaks

  • Arrival Date

For kits that include a sized item:

Each item in your kit that is sized will need to be a row on your spreadsheet with the corresponding Item Name, Product ID, and Size.  If your kit includes multiple sized items, simply add a second row immediately below the corresponding recipient and add the item information/size


Please note: You do not need to fill in your Name, Company, Address, Address Line 2, City, State, Postal Code, Country, Email, and Telephone for every line if you are sending multiple items, it is only needed once!


Arrival Date Tips:

For arrival date, copy and paste the following shipping codes below or leave the field blank and it will default to the Lowest Cost shipping method.  Please note you'll have the option to change shipping methods after you have imported the CSV and before you place the order.

  • 10/18/2021
    • Enter a date in the format above and Printfection will pick the appropriate method to arrive by that date
  • LowestCost
    • Domestic is traditionally 1-2 weeks (includes tracking) and International is 2-6 weeks (does not include tracking)
  • LowestCostWithTracking
    • Upgraded to include international tracking
  • Fastest
    • This will always include tracking unless you are shipping to a PO Box.  Domestic will be the next business day.  International will be four business days.
  • Other optional methods if shipping domestically. These are methods you could map to an outside tool like Shopify. These methods add tracking
    • Standard 5 business days + 1-2 days fulfillment
    • 2ndDay 2 business days + 1-2 days fulfillment
    • NextDay 1 business day + 1-2 days fulfillment

2. Import Your CSV into your Collection Campaign

Visit the Manage page and select Import from CSV

Note: split your spreadsheets by 100 orders each to optimize loading times in the system.



Click 'Choose Your CSV File' and 'Upload Now'.   


Once the file is uploaded you'll be shown a list of column names that you will match to the columns in the CSV.  The mapping will be easy if you did not change any of the headers on the CSV template.


3. Review successful orders and/or fix any error messages

For each successful order, you'll see a green check box next to the order. You will also see the estimated value of the order including the item value, shipping, fulfillment, and total order cost.



If you have an error, you will see it appear with a red exclamation point:


If you click the order to expand it, you will see more information detailing the error



4. Place your successful orders in bulk! 

Once you are ready to place your orders - navigate to the bottom of the page and select 'Place Orders.' All successful orders will process and any orders with an error will be held as pending.
